Certificate of Insurance (COI) Compliance Tracking
Also known as: COI Tracking, Insurance Compliance Tracking, COI
The ongoing property-management function of collecting, verifying, and monitoring current certificates of insurance from every tenant and vendor on site to confirm required coverage types, limits, and additional-insured endorsements remain in force throughout the lease or contract term.
This is an operational compliance discipline, not an insurance-policy concept: it consists of expiration monitoring, automated renewal reminders (often via property management or dedicated COI-tracking software), and an escalation and default-notice procedure when a tenant or vendor's coverage lapses. A lease can require a tenant to carry $2 million of general liability coverage, yet if the COI file is not actively tracked and a policy lapses mid-term, the landlord may be effectively uninsured at that space for a period no one has noticed — which is why umbrella and excess carriers increasingly probe an owner's COI-tracking discipline during their own renewal underwriting, and why the rigor of the incumbent management program's COI compliance process is a standard item in acquisition and lender diligence.
