Space Utilization Analytics

The measurement of how office or workplace square footage is actually occupied and used over time — via badge-swipe data, Wi-Fi connections, or occupancy sensors — as distinct from leased square footage, used by corporate occupiers and landlords to right-size space and inform lease renewal decisions.

Space utilization data emerged as a significant CRE analytics category following the widespread adoption of hybrid work, which created a persistent gap between the square footage corporate tenants lease and the square footage they actually occupy on a given day, and occupiers now routinely use utilization data to justify footprint reduction, renegotiate renewals, or redesign space around measured peak-day attendance rather than headcount alone. Landlords and asset managers use aggregate, anonymized utilization trends across their tenant base as a leading indicator of portfolio-wide rollover and downsizing risk, often well before a tenant's formal renewal decision or space request signals an intention to shrink. Measurement methodology varies in granularity and privacy sensitivity — badge access data provides reliable daily headcounts but not within-floor movement, while Wi-Fi and dedicated occupancy sensors can measure desk- or zone-level usage but raise employee privacy considerations that have made sensor deployment and data governance a recurring point of tenant and workforce negotiation.
